SAP Business One

SAP Business One, set up properly.

SAP Business One brings finance, sales, purchasing, inventory and production into one system. We implement it, support it, and build the apps and add-ons it does not come with.

  • Consulting, apps and add-ons from one team
  • Built on SAP's own interfaces: Service Layer, DI API, SDK
  • A written scope before any work starts

What it is

One database, every department.

SAP Business One is SAP's ERP for small and midsize companies. Every department works in the same system, so a sales order, the stock it reserves, the invoice it becomes and the payment that clears it are one connected record — not four files.

It runs on SAP HANA or Microsoft SQL Server, on your own server or hosted in the cloud, and its Indian localisation covers GST. Administration ties it together: users and authorisations, approval procedures, and alerts when something needs attention.

The core modules

What each part of SAP Business One does.

Financials

Chart of accounts, journal entries, budgets, cost centres and financial statements. Every other module posts here as it happens.

Sales – A/R

Quotations, sales orders, deliveries, A/R invoices and credit memos, each copied from the document before it.

Purchasing – A/P

Purchase requests and orders, goods receipt POs, A/P invoices and landed costs.

Business Partners

One record for every customer, supplier and lead: contacts, addresses, payment terms and credit limits.

Banking

Incoming and outgoing payments, cheques and deposits, bank statements and reconciliation.

Inventory

Items, warehouses and bin locations, batches and serial numbers, stock transfers and counting.

Production

Bills of materials and production orders, with issue for production and receipt from production.

MRP

Material requirements planning: what to buy or make, and when, worked out from sales orders and forecasts.

CRM

Sales opportunities, pipeline stages and activities, kept on the customer's own record.

Service

Service contracts, customer equipment cards and service calls for after-sales support.

Human Resources

Employee master data and basic HR records. Payroll is not in the standard product — our HRMS and payroll add-on adds it.

Reports and analytics

Financial and operational reports, saved queries, Crystal Reports and dashboards, all on live data.

How it fits together

One document becomes the next.

Each document is copied from the one before it, so nobody types the same order twice, and every step posts to the accounts as it happens.

Order to cash

  1. Sales quotation
  2. Sales order
  3. Delivery
  4. A/R invoice
  5. Incoming payment

Procure to pay

  1. Purchase request
  2. Purchase order
  3. Goods receipt PO
  4. A/P invoice
  5. Outgoing payment

Plan to produce

  1. MRP run
  2. Production order
  3. Issue for production
  4. Receipt from production
  5. Stock to sell

Reporting and analytics

See the business, not just the books.

Every transaction is already in SAP Business One. We turn it into reports and dashboards people open every day — with the tools the product provides, and without exporting to a spreadsheet first.

  • Crystal Reports for document layouts and management reports
  • Saved queries and formatted searches that answer questions straight from the data
  • Dashboards and KPIs on the SAP Business One cockpit
  • On SAP HANA: pervasive analytics, and Interactive Analysis in Excel
  • The reports people actually open: daily sales, receivables ageing, slow-moving stock, production yield

Common questions

Anything else, ask in the enquiry form or at support@aromarytechnologies.com.

Is SAP Business One right for a business our size?

It is SAP's ERP for small and midsize companies. If what you need is simpler than an ERP, we will say so before you spend anything.

SAP HANA or Microsoft SQL Server?

Both run the same SAP Business One. SAP HANA adds in-memory analytics — pervasive dashboards and Interactive Analysis in Excel. We will recommend one for your size and budget.

Can we move from Tally or spreadsheets?

Yes. Master data, opening balances and open documents are migrated with the Data Transfer Workbench, and checked against your old figures before go-live.

How long does an implementation take?

It depends on the modules, the number of users and the state of your data. You get a written plan with milestones before any work starts.

Can you support a system another partner implemented?

Yes. We start with a health check, so you know what state it is in, and then take over day-to-day support.

Running SAP Business One, or about to?

Tell us which version you are on — or what you use today — and what is slowing you down. We will tell you whether it needs configuration, an add-on, or nothing at all.
